Client Care Coordinator

Here’s who we are looking for….

As a Virtual Assistant: Client Care Coordinator, you will play a crucial role in managing client inquiries and care. This part-time, fully virtual position involves coordinating the intake process, scheduling appointments, and ensuring that each client is matched with the therapist that best fits their needs. You'll be the backbone of our client experience, making sure that every interaction is supportive, prompt, and empowering.

This is a Part Time( 20-30 hrs a month) fully virtual, contract position to begin in May 2024. Pay rate $20-25/hour.

 

Duties & Responsiblities:

  • Ensures both potential clients and current clients have a quality experience that is both supportive and prompt. Supports new clients from initial contact through clients completed intake sessions.

  • Conduct & manage free consultation calls, respond to phone and email inquiries, responding within 24 hours. Matching potential clients with best fit therapist, or provides referrals.

  • Schedule intake appointments with the appropriate therapists, and manage client onboarding.

  • Maintain client intake data and assist in analyzing metrics.

  • Support with marketing efforts & other project management.

  • Support in developing standard operating procedures.


Qualities & Skills Desired:

  • Availability for 3 to 4, one-hour slots during the week to conduct consultations.

  • Available to attend weekly virtual team meetings on Mondays at 1 pm.

  • Comfortable being the first point of contact for clients in need, providing affirming support. Also comfortable building relationships with community members.

  • Be highly organized and highly detail-oriented to manage multiple projects.

  • Be able to work independently on tasks assigned, as well as anticipate needs and take initiative.

  • Have strong written and verbal communication skills.

  • Confident in technology skills and problem-solving.


Highly desired applicant qualities/experience:

  • Located in CA,  PST time zone.

  • Available for  1-2 evening or weekend hours a week to take consults.

  • At least 2 years previous experience as a Virtual Assistant in a team setting.

  • Experience working in a healthcare setting and/or sales setting.

  • Comfortable/Familiar in working with Google Workspace, Asana, Simple Practice, Squarespace, MailChimp, Loom and Canva.
